How do I create a Proposal/Quotation?

 

You can create professional looking proposals/quotations in a snap using WinZeal Express 3.0. WinZeal Express allows you to customize the look and feel of your reports using Microsoft Word.

We are assuming that you have already imported or created at least one Account (Client or Customer) and Contact (contact person) under it.

Step 1

New Proposal

You can right click on an Account for which you want to create a new Proposal/Quotation and choose New Proposal.

You can also choose the Proposals tab (in the lower portion of the window) and click on the New icon.

Step 2

Create New Proposal

Choose the Date of Proposal (current system date is selected by default), the Contact Person to whom you want to address the proposal to and the Stage/Rating.

If there are no Contact Persons or Ratings defined, you can click on the New icon next to the drop down box and add it dynamically.

You can optionally choose the Delivery and Due date if its applicable.

Click on Ok to create a blank proposal template.

Step 3

Proposal Window

The Proposal Window allows you to add, edit or delete line items that you want to quote. To add a new line item, click on the New icon in the Proposal Details frame.

You can also change the Contact Person to whom the proposal is addressed to, the Rating and the Status (provided the proposal is marked Submitted).

The Other Details tab can be used to rearrange your proposal groups and items within each group. You can also choose whether you want to generate a detailed proposal or a basic one (without tax, discount and shipping details).

Step 4

Adding a Proposal Detail

A proposal detail is a line item that you wish to quote for your customer. A line item can be either a Product or a Service that you provide.

Assuming that you have imported or added your products already, we choose a product from the Product Name drop down box. Alternatively, you can search for a product or a service and click in the Search Results list. All applicable details are automatically picked up and populated in the respective fields.

Click Add once you have selected all the required options (such as the Tax, Discount etc).

Step 5

Proposal Window - General

Notice the difference between the Proposal Window in Step 3 and the current Step. You can see the item you have added and also the Submit button is enabled now.

Step 6

Proposal Window - Other Details

This tab is useful in setting up the remaining parameters for your proposal. These settings are automatically saved so you don't have to repeat the process every time.

WinZeal Express allows you to display Proposal Groups in your proposal and also rearrange them in any sequence you want. You can also change the sequence of items under each group.

If you have selected a Signature file under Tools > Options window, you can include it in your proposal by enabling the Include My Signature option.

You can either generate a comprehensive proposal or a basic one (some columns are excluded).

Step 7

Preview Proposal

You can preview the proposal in Internet Explorer. The proposal is generated in Microsoft Word only if you click on the Submit button.

The screenshot shown on the left is a comprehensive proposal (it includes Tax, Shipping and Discount columns).

If you selected Basic Proposal in the Other Details tab in the proposal window, the Tax, Shipping and Discount columns won't be shown in the generated proposal.
