Data import in WinZeal Express 3.0
is a breeze. Follow the steps below to import your existing data.

Step 1 |

Export your data from your current system/application as a
Comma Separated Value (CSV) file format. You can open CSV
files using Microsoft Excel or Notepad. We suggest you use
Excel as it can make your life much easier.
When you install WinZeal Express 3.0, the setup installs a
few import templates (under the folder Import Templates).
These templates are distributed in .XLS format (Excel
Sheets). You can use these templates to know about the
columns (field names) you can import as well as their
sequence. Please be aware that you may need to rearrange
your fields in order to match the structure WinZeal Express
uses. For more information on how to rearrange columns in
Excel, please refer to Excel help.
You can also determine the fields and the sequence when you
open the Import Data window in WinZeal Express 3.0. To open
the Import Data window, click on the Import icon in the
toolbar.

suppliers, contacts, products etc. |

Importing
Data
1. Choose the information you want
to import. For instance, if you want to import all your
customer details, you can choose Accounts in the Import what
drop down box.
2. Click on the open icon next to
the Select import file text box to select the CSV file that
contains your data.
3. The Preview button is enabled
automatically. Click on Preview to see the data preview.
4. The column names in the Data
Preview list view and the data shown should match. Verify if
they are correct and click on Import (the Preview button
changes to Import once you click on Preview).

Importing
in Batches
If you were to have 10 Accounts that
you want to import, it is very rare that you might have the
same set of information applicable to all of them. What it
means is, the Industry Type could be different, your
Classification or Rating could be different for each Account
you want to import.
WinZeal Express 3.0 supports batch
imports. This means, you can select all the Accounts which
can be classified under a common set of information and
import it. For instance, you might have 4 Accounts which are
your Customers, they all deal with Computers and are based
in the USA. Choose those four and import them first.
Similarly, choose Accounts that can be grouped and import in
batches.

Apply the same
logic to import all your data. Records successfully imported
are displayed in blue. If for
some reason a record could not be imported by WinZeal
Express, the record is displayed in
red.
Importing
Contacts
Unlike other
objects which are directly imported and associated to their
related objects in the database, Contacts are imported and remain unassigned.
Unassigned means that a contact does not belong to either an
Account or a Supplier. You are required to assign each
contact to either an Account or a Supplier before they are
made available. |

Contacts
Once you import all your contacts,
click on the Quick Views tab and choose Unassigned Contacts
from the drop down. WinZeal Express displays all the
contacts that are unassigned.
Contacts can either be linked to
Accounts or Suppliers. Double click on a contact to bring up
the Assign Contacts window.

Assign
Contacts
You can choose a contact from the
list view on the left, select an Account or a Supplier to
whom you wish to assign this contact to, key in/change the
contact details and then assign other details such as the
Title, Designation etc and click on the Assign button.
Repeat the above process for each
contact.
Contacts that are assigned are
automatically removed from the list on the left.
